Receive and organize the project documents
The rep receives the lighting schedule, drawings, specifications, addenda, and other project documents.
Before any crossing or quoting begins, the files need to be downloaded, organized, and reviewed for missing information.

Review the fixture schedule, drawings, and specifications
The rep reviews the fixture types, quantities, basis-of-design products, voltages, mounting conditions, controls, finishes, emergency requirements, environmental ratings, and other project-specific details.
The fixture schedule does not always contain everything needed, so the rep may also need to search through the drawings and written specifications.

Locate and understand the specified products
Before the rep can cross a fixture, they need to understand what was originally specified.
That can mean searching manufacturer websites, old catalogs, PDF files, previous projects, distributor portals, and internal product folders just to locate the correct product information.
Part numbers may be incomplete, outdated, discontinued, or configured differently across multiple documents.

A legitimate cross requires more than finding something that looks similar. The rep may need to compare:

Some fixtures can be crossed quickly. Others can take significantly longer, especially when the basis-of-design product is highly configurable, discontinued, custom, poorly documented, or outside the rep’s normal product lines.

Once the proposed crosses have been identified, the rep may need to confirm pricing, lead times, availability, option compatibility, freight, minimum-order requirements, or technical details.
The active work required to prepare and send those requests is separate from the time spent waiting for responses.

Enter the project into the quoting system
The rep enters the fixture types, quantities, manufacturers, catalog numbers, descriptions, pricing, notes, and other relevant information into a spreadsheet or quoting platform.
Because information is often coming from several different sources, this frequently involves copying, pasting, reformatting, and manually checking data.

Build and review the quote
The rep applies pricing, margins, freight, terms, exclusions, alternates, and project notes.
They then review the quote to make sure the quantities, catalog numbers, fixture types, and totals are correct.

Build the lighting submittal package
A complete lighting submittal is not just a few PDFs combined into one file.
The rep may need to:
Locate the correct cut sheet for every fixture
Confirm that each sheet matches the product being quoted

Include drawings, controls information, or supporting documentation
Arrange the documents in fixture schedule order
Create a cover page or table of contents
Remove irrelevant or duplicate pages
Check that every quoted fixture has supporting documentation
Confirm that the quote and submittal show the same products
Combine everything into a clean, customer-ready package
For a 12-fixture project, this process can easily take several hours.

Perform final quality control and send the package
Before anything is sent, the rep should verify that no fixture types are missing, catalog numbers are accurate, selections are properly marked, pricing is current, and the quote matches the submittal package.
